The meeting ends. Everyone agrees on what happens next. Then the notes sit in a transcript, the email waits until tomorrow, and the CRM still says the last touch was three weeks ago. This kit is the same-day chain: record the call, summarize it, send the follow-up, file the tasks, and log the account.

It is a free download. The markdown bundle on this page is the write-up and the step list. You still run each step in your own accounts. Nothing here sends the email or writes the CRM record for you.

What you need: Granola or Fireflies for the recording, Claude or ChatGPT for the summary and the drafts, Gmail to send the note, Linear or a task list you already use, and HubSpot if the account lives in a CRM. Skip a tool you do not have. The step still tells you what the output should look like.

Tell the other person you are recording, and follow the consent rules where you are.

Step 1: Record and transcribe the call

Tool: Granola. It takes the audio from your computer and does not add a bot to the invite. Fireflies or Otter are the same step if that is what you already record with. A Zoom or Teams transcript is enough when you do not want another app.

Granola's directory page is the source listing. YourAIKit does not host that file. Open it, record the call, and export the transcript or copy the notes when you hang up.

Say the decisions out loud. "Alex sends the revised scope by Friday. Jordan confirms the budget before it goes." A sentence spoken in the room is what the next step can quote.

Step 2: Summarize with a prompt

Tool: Claude. Paste the transcript into a new thread. ChatGPT is the same paste if that is your assistant.

Use the Summarize Meeting prompt from Daniel Miessler's Fabric project (MIT). It pulls decisions, action items, and open questions out of a noisy transcript. Then add one instruction of your own:

From this summary, list decisions, owners, dates, and anything still open. Quote the line that supports each decision. Do not invent an owner who was not named.

Read it before you trust it. If a name or a date is fuzzy in the transcript, leave it blank and ask. The prompt drafts. You decide what was actually agreed.

Step 3: Draft the follow-up email

Tool: Gmail. The draft is written in Claude. You paste it into Gmail, read it, and send it yourself.

The Create Formal Email prompt is the shape: a purpose, the ask, and one next step. Feed it the summary from Step 2, not the raw transcript.

Write a follow-up I can send today. Four short paragraphs: thanks, what we decided, what I will do, what they will do, and the date. Use their words for the decision. Do not add a discount, a promise, or a meeting I did not offer.

Send it the same day. A perfect email tomorrow is how the call goes cold.

Step 4: Create the tasks

Tool: Linear. If you do not use Linear, the same list goes into Notion or the task app you already open on Monday.

The Task Management skill turns the action items into a list with an owner. Paste the summary and ask for one task per decision, with the owner who was named and the date that was said. Do not create a task for a person who was not in the room.

Create the tasks yourself from that list. The skill does not have access to your Linear account.

Step 5: Log it on the account

Tool: HubSpot. The note is a few lines a colleague can read without the recording.

Use the CRM Hygiene Check skill as the checklist for what a stale record is missing, then write the note from the summary:

Account note, six lines: who was on the call, the decision, the open question, the email I sent, the tasks I created, and the next date. No transcript. No guess about budget.

Paste that note onto the contact or the deal. If you do not have a CRM, put the same six lines at the top of the client doc. The point is that the next person does not have to replay the call.

That is the chain. Record, summarize, email, tasks, CRM. The download is the bundle of this page. The work still happens in the tools you checked.
